How Exploration Sites Corp. (“Exploration Sites”, “we”) collects, uses, and protects the information you share with us — including the confidential client material at the heart of our work.
Information we collect
When you reach out — through our enquiry form, by email, or by booking a discovery call — you give us details such as your name, company, role, email address, phone number, and a description of your project. If you book a call, our scheduling and client-management provider records the time you choose and anything you submit with it.
If you subscribe to a program online, our payment processor, Stripe, collects your billing name, email, address, payment card details, and any tax ID you provide. We receive these details from Stripe, except your full card number, which we never see or store.
We also receive limited technical information automatically when you visit the site: your browser and device type, approximate region, and the pages you view. We do not require you to create an account, and we do not knowingly collect information from anyone under the age of majority.
How we use your information
We use what you share only to respond to your enquiry, to scope, quote, and deliver the work you engage us for, to send invoices and manage our working relationship, to keep you updated on your project, and to meet our legal and accounting obligations.
We send occasional news or marketing email only where you have agreed to it or where Canada’s anti-spam law otherwise allows (for example, to current clients). Every such email includes a way to unsubscribe, and we act on unsubscribe requests within ten business days.
We do not use your information for third-party advertising, and we never sell or rent it.
Confidentiality of client material
Most of our work involves non-public, commercially sensitive material — geological data, drill results, resource models, corporate presentations, and other information about exploration and mining companies, some of it material non-public information (MNPI) about publicly traded issuers.
We treat this material as strictly confidential. We access it only to perform the work, store it with access limited to the team members involved, and return or delete it on request. We do not trade in our clients’ securities on the basis of information we receive, and we do not disclose client material to anyone outside our team without authorization or a clear legal obligation. We show work in our portfolio only after the client has made it public. Where a client requires it, we sign a non-disclosure agreement before work begins.
Service providers & sharing
We rely on a small number of established services to run our business, and your information may be processed by them on our behalf: website hosting and cookieless analytics (Vercel), form submissions (Formspree), call scheduling and client management (HighLevel, also known as LeadConnector), payment processing (Stripe), email (Google Workspace, and Resend for automated notices), embedded videos (YouTube), and standard cloud-storage tools. Each is bound to use the information only to provide its service to us.
We do not sell, rent, or trade your personal information. We share it only with these providers as needed to deliver our work, where we are legally compelled to, or in the event of a business transfer — in which case any successor would remain bound by this policy.
Cookies & analytics
We do not use advertising cookies. Our own analytics (Vercel Web Analytics) is cookieless: it counts which pages are visited and how the site performs, in aggregate, and is not used to identify individual visitors or to track you across other websites.
A few embedded services set their own cookies or browser storage when you use them: the booking calendar on our booking page (HighLevel) may remember details you enter so you don’t have to retype them; videos are embedded from YouTube in privacy-enhanced mode, and YouTube may set cookies once you play one; and Stripe sets cookies on its checkout pages to prevent fraud. Each is governed by that provider’s own privacy policy. You can block or clear cookies in your browser settings; the site works without them, though the booking calendar may ask you to re-enter details.
How long we keep it
We keep enquiry and project information only as long as needed for the purpose it was collected — to respond, deliver the work, meet our legal and tax obligations, and maintain our business records — after which we delete or anonymize it. You can ask us to delete your information sooner.
Your privacy rights
If you are in Canada, you have the right under PIPEDA and British Columbia’s Personal Information Protection Act to access the personal information we hold about you, ask us to correct it, and withdraw consent.
If you are in the European Economic Area or the United Kingdom, you additionally have rights under the GDPR to access, correct, delete, restrict, or port your data, and to object to certain processing. To exercise any of these, email us using the details below; we will respond within thirty days, as Canadian law requires.
If you are not satisfied with our response, you can contact the Office of the Information and Privacy Commissioner for British Columbia (oipc.bc.ca) or the Office of the Privacy Commissioner of Canada (priv.gc.ca).
International visitors
Exploration Sites is based in Victoria, British Columbia, Canada, and our service providers may store and process information in Canada, the United States, and elsewhere. If you contact us from outside Canada, you consent to your information being transferred to and processed in these locations, which may have different data-protection laws than your own.
How we protect information
We protect your information with reasonable administrative and technical safeguards — limited team access, reputable service providers, and secure transmission. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. If a breach of your personal information creates a real risk of significant harm to you, we will notify you and report it to the Privacy Commissioner of Canada, as the law requires.
Changes & how to reach us
We may update this policy from time to time. The “last updated” date at the top reflects the current version, and material changes will be posted on this page.
Our Privacy Officer, Dorian Leslie, is responsible for how we handle personal information. Questions about this policy, or requests to access, correct, or delete your information, can be sent to info@explorationsites.com. A mailing address is available on request.
